RFIs (Requests for Information)

Raise a formal question to the design team, track ball-in-court and due dates, capture the official response, and link it to drawings and specs.

An RFI is a formal, tracked request to clarify or resolve a gap in the contract documents. Syntecton numbers each RFI, manages the distribution list, enforces the due date, and records the official response so the answer becomes part of the project record.

Create and send an RFI

Open RFIs and start a new one

Go to Field Execution → RFIs and click New RFI. Syntecton assigns the next number based on your project’s numbering rule.

Write a clear question

Give it a specific subject and state the question precisely. Reference the affected drawing sheet or spec section so the reviewer has context.

Set the assignee and due date

Choose the Assignee (usually the architect or engineer) and a due date. The assignee becomes the ball-in-court.

Set the distribution list

Add anyone who should be kept informed. Distribution members receive the RFI and its response but aren’t responsible for answering.

Attach references and submit

Attach markups, photos, or sketches, then click Submit. The assignee is notified by email with a link straight to the RFI.

Record the official response and close

When the answer arrives, capture it as the Official Response. Review it, then set the RFI to Closed. The full thread stays on the record.

Troubleshooting

The response changes scope or cost

If the answer introduces added work, start a Change Order and reference this RFI so the cost trail links back to the original question.

An RFI is overdue

Open it and use Nudge to remind the ball-in-court holder. Overdue RFIs are highlighted in the list view.
